How to Choose a HubSpot Partner in Portugal (2026)

Link37 Team

Why choosing the right HubSpot CRM partner matters so much

Once you've decided to use HubSpot, the next choice is the company that will set up your portal, migrate your data and train your team. That choice, more than the licence you sign, is what determines whether the project succeeds. In Portugal, you can choose from a small number of partners or run the project with your own in-house team. Both options work, and each has its pros and cons.

It's worth pointing out that the tier is the level HubSpot assigns to each partner, from Gold to Elite, based on the success that partner generates and sustains for HubSpot. The tier measures the partner's business volume, not the quality of their work. Use it only as a first filter, a sign of stability, and then decide based on four things: whether the partner knows your industry well, who the actual people working on your account will be, whether the pricing model fits what you agree to deliver, and references you check yourself.

CRM implementation partners in Portugal: what's different?

Any European partner will tell you they can serve Portugal remotely. In practice, the differences show up in four areas.

Language and team adoption. Any partner can configure the system; the real challenge is getting your team to use it every day, and that is largely a matter of language and of fitting the software to how you actually work. If your sales team works in European Portuguese, the system fields, sales pipeline stages, documentation and training should be in European Portuguese too.

Time zone and availability on go-live day. Portugal is on WET/WEST. A UK partner shares Portugal's time, and a Spanish partner is one hour ahead. A North American partner has only three to four hours of overlap with Portuguese business hours, which makes migration day considerably harder. Always ask who will be available at 9 a.m. Lisbon time on switchover day.

Invoicing and ERP systems. This is where many projects in Portugal stall. The most common business management systems in Portugal are PHC, Primavera, Sage and SAP, and connecting HubSpot to any of them is rarely simple. On top of that comes the requirement for certified invoicing and the SAF-T PT file, a standardised file with invoicing data that must be submitted to the Portuguese Tax Authority. Multibanco and MB WAY add another quirk: a payment reference generated today may only be paid three days later, which puts the dates recorded in HubSpot out of step with when payment actually happens.

Data protection. GDPR applies across the European Union, but in Portugal it is enforced by the CNPD (the National Data Protection Commission), and the consent wording customers read has to make sense in Portuguese. Ask the partner how they collect user consent and how they configure data retention periods in HubSpot.

How the Solutions Partner Program works in 2026

The Solutions Partner Program is HubSpot's official programme for agencies that implement and configure HubSpot for their clients. It groups those agencies into four tiers: Gold, Platinum, Diamond and Elite. To move up a tier, a partner accumulates tier points, earned in three different ways:

  • Sourced: the partner brought in the customer. Worth 5 points per 100 USD of monthly recurring revenue, or 10 points in certain priority markets for HubSpot (growth markets).
  • Assisted: the partner helped close a deal HubSpot was already working on. Worth 3 points, or 6 in those same markets.
  • Managed: the partner manages an existing customer's portal. Worth 1 point, or 2 in those markets.

The rules changed recently: the new points table applies from 15 July 2026 and takes full effect on 15 January 2027. From Diamond upwards, a minimum GRR is also required. GRR stands for Gross Revenue Retention, the percentage of revenue a partner keeps year after year without losing customers, shown in the last column:

Tier Sourced points Total points Retention requirement
Gold 115 345 None
Platinum 425 1,275 None
Diamond 1,250 3,750 GRR of at least 75%
Elite 2,750 11,000 GRR of at least 80%

Two more changes are worth noting: since January 2026 there is no longer a mandatory minimum of managed points, and GRR has replaced the previous retention metric; and since 17 November 2025 a new model for counting points per closed deal, called Deal-Based Tiers, has been in place. All tiered partners must also keep their Solutions Partner Certification current, with an exam retaken every 25 months.

What a HubSpot partner tier really means

Looked at closely, the tier is mainly a commercial number: it shows the partner's business volume and the share of customers who stay with them. It says nothing about how the partner runs discovery (the initial phase where your needs are mapped and the solution is designed), organises your data or hands over the portal at the end.

That doesn't make the tier useless. Being Platinum or above means the company has operated at that scale for several years, which matters when you need support. The minimum retention requirement at Diamond and Elite is the closest thing to a quality signal, but it's an average across the partner's entire client portfolio, not a guarantee about the team that will look after your account. A Gold partner whose consultants have implemented HubSpot dozens of times in your industry is often worth more than an Elite partner who puts two junior consultants on your project.

Certification, in turn, is just an exam on the organisation's knowledge, not an audit of the projects it has delivered. Treat the tier and certification as a first filter, a way in, and assess everything else project by project.

Using the Solutions Directory to build a shortlist

The Solutions Directory is HubSpot's only public list of partners organised by tier. It's a good starting point, but filter it carefully and check what it says.

  1. Location and language are not the same thing. Having an office in Lisbon doesn't guarantee the team works in Portuguese, and a company based in Madrid or London may have a fully Portuguese-speaking team.
  2. Service type first, Hub second. ("Hub" is HubSpot's name for each of its products, such as Marketing Hub or Sales Hub.) Onboarding, data migration, integration with other systems and custom development are different specialities; a company that excels at marketing content is rarely the best choice for migrating a legacy CRM.
  3. Industry matters. Retail, B2B manufacturing, financial services and real estate organise information in very different ways; a partner with prior experience in your industry moves faster right from the start of the project.
  4. Read the reviews carefully, not just the stars. They come from real customers, and what they write is where the useful information is.
  5. Confirm the local team really exists. Ask how many people the partner has in Portugal, and how many of them will actually work on your account.

In the end, you should have a shortlist of three to five names.

Engagement models, onboarding and costs

There are three ways to contract a HubSpot project, and together they cover virtually every case.

  • Fixed-scope project. Everything to be delivered, the project's "scope", is agreed upfront for a fixed price. It works well when that scope is genuinely well defined. The risk of a poorly written scope is yours: make sure the contract states clearly what counts as completed work and how any change to what was agreed is requested and billed.
  • Monthly retainer. A fixed number of hours or people per month, designed for ongoing work after go-live. Insist on a plan agreed upfront and a report of the hours actually used.
  • Hour blocks. You buy a package of hours in advance and use them as needed, ideal for occasional maintenance. Check how long the hours remain valid, how they're billed and how quickly the partner usually responds.

Pay close attention to onboarding: HubSpot requires an onboarding fee on Professional and Enterprise plans, unless the purchase is made through a certified Solutions Partner that delivers equivalent onboarding itself. Done directly by HubSpot, it usually costs between 1,500 and 5,900 USD, depending on the product and tier; done by a partner, it typically ranges from 1,900 to 15,200 USD, depending on what is agreed. Most importantly, get it in writing that the partner's work replaces HubSpot's mandatory fee. Anyone who assumes it does without written confirmation risks paying twice.

At the time of publication, the Customer Platform Professional plan was around 1,300 USD per month with six seats (six user licences) included, and Enterprise around 4,700 USD per month with eight seats. Each additional seat costs roughly 45 to 75 USD, and the Starter plan starts at around 20 USD per seat per month. Always check current prices on HubSpot's official pricing page, and see how Sales Hub Professional onboarding is structured and what marketing automation is in HubSpot.

Portuguese partner vs international partner vs in-house

The three routes are not equivalent. Here's a direct comparison:

Criterion Local Portuguese partner International partner In-house implementation
Language and user training European Portuguese by default English or Spanish; Portuguese must be verified Native, but depends on one person
Availability at go-live Same working day Good in Europe, weak from the Americas Full control
Invoicing systems and tax Usually hands-on experience Rare, unless they have an Iberian portfolio Strong internally, weak on HubSpot
Speed to start Weeks Weeks, with longer discovery Months, including hiring
Main risk Reliance on key people Portuguese specifics underestimated Slow start, risk to data structure

In practice, most mid-sized Portuguese companies end up with a hybrid model on mid-sized projects: the partner leads the initial build, and an internal owner then takes over managing the portal.

A six-step decision process

  1. Define the outcome you want, not a feature list. Write two or three sentences on what must be visibly different six months after go-live. Features show up in demos; outcomes show up in concrete plans.
  2. Set the project's boundaries upfront. Budget, start date, systems that must connect to HubSpot, number of users, training languages and data to migrate: use the same document with every candidate so you can compare like for like.
  3. Build your shortlist of finalists. Combine the HubSpot directory filters with recommendations from other companies in your industry, and narrow it down to three to five names.
  4. Commission a paid discovery from the two finalists. A few paid days of work that result in a plan, a data model and a price estimate are the cheapest way to test a partner's quality: how they run those days is how they'll run the whole project.
  5. Compare proposals in a single scoring grid. Set the criteria and their weighting before reading the proposals: fit with the outcome you want, the named project team, experience with your invoicing system (ERP), pricing model and support.
  6. Validate everything, then sign. The contract should name the specific people who will work with you, define what counts as accepted work, fix prices for changes, make it clear that the portal belongs to you and not the partner, and confirm how the onboarding requirement is met.

How to vet HubSpot partners

Every partner has three delighted customers ready to talk to you. Go further.

  • Ask for a reference from your industry, but also ask about a project that went wrong: what matters is how they describe turning it around.
  • Talk to the people who use the system every day, not just the person who signed the contract. Whoever approved the purchase knows whether the invoice was paid; the sales team, for example, knows whether the workflows still actually work day to day.
  • Ask questions tied to specific dates: who was responsible for the account in month one and month six, how many change requests there were and what they cost.
  • Ask to see a real portal. An anonymised walkthrough shows better than any presentation how fields and processes are organised and documented.
  • Ask how the final handover went. If, months later, a simple change still requires opening a support ticket with the partner, that's a sign they sold dependence rather than autonomy for your team.

FAQ

Does a Diamond or Elite partner do better work than a Gold partner?

Not necessarily. The tier reflects the revenue the partner brings in and retains for HubSpot, plus a minimum customer retention rate at Diamond and Elite. It signals the partner's size, not the competence of the team you'll be assigned.

Do I still pay HubSpot's mandatory onboarding fee if I hire a partner?

It's mandatory on Professional and Enterprise plans, unless the purchase is made through a certified Solutions Partner that delivers equivalent onboarding itself. That exemption exists, but it has to be documented in the proposal before you sign.

Is choosing a partner outside Portugal a bad idea?

Not necessarily, but the burden of proof is higher: ask about training in European Portuguese, availability during Lisbon hours on go-live day, and previous experience with systems such as PHC, Primavera, Sage or SAP, as well as certified invoicing and the SAF-T PT file.

Can't we do it all in-house?

You can, as long as someone owns the data model and automation as a real part of their role, and the company accepts a slower start. The in-house route tends to struggle with migrations, ERP integration and reports that have never been built before. A common middle ground: an external partner leads the build, with an internal owner involved from day one.
